Review an application and record a decision
Run the rule checks on a case and record the outcome with a reason.
Who can do this: Permit Reviewer. Pick the person to act as them from Demo controls.
- Open "Review queue". Read "Stage" and "Next action" for each case. Stage shows where the case is, for example "Checks (3 of 6)". Next action is what is needed now: "Ready to decide", "Ready to issue", "Needs checks", "Fee not settled", "In early resolution", "Submitted with known issues" or "Waiting for the applicant". "Ready to decide" and "Ready to issue" come first.
- To find one case, type its reference, the applicant name or the site address in Search and press Search. A number such as 617 matches SYN-APP-617. Clear drops the search and keeps the chip.
- Read the tags on the row. They name what the agents recommend, such as "Agent: approve" or "Data follow-up: parcel not confirmed", and a chip filters to one tag. An open parcel or identity link is a "Data follow-up" tag, not the next-action blocker.
- Open the case. The page folds its parts into sections, such as "Where this case is", "Next action", "Outstanding issues", "Suggested fields", "Application checks", "Agent findings and runs", "Decision" and "Actions". The "Decision" section starts open when the next action is to decide or to read the decision.
- Read the tabs "Documents", "People and organizations", "Activity" and "Review". On the "People and organizations" tab, click "Start" under "Confirm parcel" and submit it.
- On the "Review" tab, click "Start" under "Run application checks" and submit the form. Read the rule results. A check listed as Not checked did not run because the parcel is not confirmed.
- An open parcel or identity link is Data follow-up and does not have to be settled before the decision. The payer account and the fee still have to be settled before the permit is issued.
- Click "Start" under "Record review decision". Choose "Approve", "Approve with conditions", "Deny" or "Needs information". For a denial also choose the "Denial reason code". This is the manual decision, the one a person records. When the adjudication agent has left a recommendation, the "Decision" section also offers "Confirm the recommendation", which records that outcome as your decision, and "Revert the recommendation", which sends the case back to a manual review with a reason.
- When a check failed or still needs a person, write the "Exception reason". It is required when you approve against such a check, and the decision is recorded as an exception to that rule. A denial needs no exception reason.
- Write the "Rationale (internal record)". It is required. Click "Record the decision" and read the message at the top. To send the case back to the applicant, choose "Needs information": the "Rationale (internal record)" is then filled with the request for you.
What you get: The decision is recorded against the versions you saw. Data follow-up does not refuse it. Another blocker, such as an expired credential or a stale check, still refuses an approval and says why. "Issue permit" stays refused until the fee is assessed, paid and reconciled.
